Forms, email, and payment

Some actions are completed through another service.

When you submit a website form, the information is saved in a private Aire & Ease organizer dashboard so the request can be reviewed, answered, and tracked. Access to that dashboard is restricted to the authorized organizer account. Follow-up messages may be sent through Aire & Ease's email service.

Registration and payment are completed through Square. Aire & Ease does not receive your full payment-card number through this website. Square processes payment information under its own terms and privacy notice.

Links to social media and other outside websites are governed by those services' own privacy practices.

Sharing and retention

Information is kept only as reasonably needed.

Information may be shared with service providers that help operate the website, email, payment, registration, or event process; when required by law; or when reasonably necessary to protect guests, the organization, or others. Aire & Ease does not sell personal information.

Records are retained for as long as reasonably needed for the purpose collected, event administration, financial recordkeeping, dispute resolution, safety, or legal obligations, and then removed or securely disposed of when appropriate.

Your choices

You may ask questions, request a correction, or unsubscribe.

You may request a correction to information you submitted, ask to be removed from nonessential email updates, update a photo preference, or ask whether information can be deleted. Some records may need to be retained for payment, legal, safety, or event administration purposes.

Do not send diagnoses, treatment records, detailed symptoms, insurance documents, or other private health information through this website or a standard email. Aire & Ease is separate from professional counseling services.

Information and Authorized Purposes

The Organization may collect contact, demographic, service-need, referral, and health- or counseling-related information that you voluntarily provide. You authorize the Organization to use the minimum information reasonably necessary to assess your needs; contact you; locate, arrange, and coordinate counseling or other supportive services; follow up on referrals; operate and improve its programs; document services; meet grant, funding, audit, compliance, and reporting requirements; and conduct other lawful activities directly related to participant support, program administration, and the Organization's charitable mission.

Sharing and Safeguards

Information may be shared, when reasonably necessary, with authorized staff, volunteers, contractors, referral providers, community partners, funders, grant administrators, auditors, and government agencies, or as required by law. Grant and program reports should use aggregated or de-identified information whenever reasonably possible. The Organization will use reasonable safeguards, limit access to authorized persons, and will not sell personally identifiable information.

Your Choices

You may revoke this consent in writing, but revocation will not affect actions already taken in reliance on it. This consent expires when the related referral, program, grant, audit, and record-retention purposes are completed, unless a shorter period is required by law. Information disclosed to an outside organization may be governed by that recipient's privacy practices.
